Zapier's edge isn't features — it's the 7,000+ app library and the cleanest 'connect A to B' experience in the category. For a non-technical founder running their first automation, that breadth and that simplicity are decisive. Whatever obscure SaaS tool you already pay for, Zapier almost certainly has a native integration. The visual builder is forgiving enough that you can ship a working Zap in your first session without watching a tutorial.

Who should use it: any non-technical operator automating their first workflow, solo founders connecting the SaaS they already use, agencies routing leads and client deliverables, anyone whose business runs on 'app A → app B → notify me'. Zapier is also the right answer for the long tail of one-off automations — the project where you'd rather pay $20/month than spend a Saturday wiring something up by hand.

Who should not: if you're running tens of thousands of automation steps per month, Zapier's per-task pricing will out-cost the alternatives by a meaningful multiple — Make is significantly cheaper at volume, and n8n (self-hosted) is essentially free at scale. If your workflows need deep branching, iteration, or data transformation, Make and n8n give you more rope. And if you're an engineer, n8n's code nodes will feel native in a way Zapier's never will.
